What the Etsy digital listing file checker reviews
The checker turns a seller-entered digital product package into eight visible decisions. It identifies the delivery mode, parses exact buyer-visible file rows, checks current count, supported format, size, and naming constraints, then reviews package contents, opening requirements, license summary, preview correspondence, buyer download instructions, known conflicts, and the evidence used to approve the candidate.
The result is intentionally narrower than file inspection or marketplace approval. It cannot upload or download files, open an archive, render a PDF, detect corruption or malware, verify accessibility, grant intellectual-property rights, reproduce Etsy checkout, or decide whether an item is allowed. It helps a seller find contradictions before a bounded listing-file change.

Choose the correct digital delivery path first
Etsy currently separates instant downloads from made-to-order digital files. An instant listing contains ready-made files uploaded with the listing and makes them available after payment confirmation. A made-to-order listing represents a custom file completed after purchase and delivered when the seller completes the order. The public promise, processing expectation, and actual workflow must use the same path.
Do not describe a custom portrait, personalized invitation, or edited template as instantly available when work begins after purchase. Conversely, do not create unnecessary manual fulfillment for a stable ready-made printable package. The checker looks for explicit delivery and availability language but cannot read the selected Etsy setting or observe an order state.
Build an exact buyer-visible file manifest
For each uploaded file, enter the exact name, extension, and measured MB value on one line. Etsy's current Help documentation permits up to five digital files and limits each file to 20MB. It lists supported formats including PDF, ZIP, PNG, JPG, STL, MP3, MOV, EPUB, TXT, and other specified types. A renamed unsupported file is not a supported product.
Buyer-visible names matter because Etsy displays the uploaded name and does not offer a separate after-upload rename field. Current guidance limits names to 70 alphanumeric characters plus periods, underscores, or hyphens. Use literal names such as A4-Prints.pdf instead of internal export codes, spaces, decorative symbols, or ambiguous final-final labels.
Define what the buyer receives and what is excluded
A package description should identify the number of designs, pages, templates, audio tracks, video clips, models, presets, or other assets; their meaningful dimensions, resolution, duration, scale, color mode, or format; and any guide or license file. It should also name exclusions that a buyer could reasonably infer from previews, such as no physical shipment, editable source, font, software account, mockup scene, or commercial license.
For a twelve-design printable fixture, the package includes separate US Letter and A4 PDFs, twelve pages in each set, a printing guide, and a personal-use license. It does not include framed prints, editable artwork, a font, or the objects shown in lifestyle mockups. A package can pass platform limits while still failing this product-scope contract.
Document software, device, extraction, and print requirements
Tell the buyer how to use the delivered format. Record the required PDF reader, archive extraction step, editable application and minimum version, operating-system boundary, font installation, cloud account, plug-in, printer, scale, media player, or other dependency. Replace vague universal claims with the environment actually tested and clearly label unsupported or unknown paths.
The printable fixture requires a current PDF reader and printing at 100% scale; it does not require design software. An editable template bundle may require ZIP extraction, a named editor version, licensed fonts, accessible linked assets, and a successful export test. The checker tests whether this boundary was written, not whether the buyer's device will satisfy it.
Make license boundaries useful without pretending to grant rights
Summarize at least one permitted use and important exclusions in plain language. A personal-use printable might allow one purchaser to print finished copies for personal use while excluding file sharing, resale, redistribution, sublicensing, and authorship claims. A commercial or template product needs a separate reviewed boundary appropriate to its component licenses and intended downstream use.
The checker cannot determine whether the seller owns the design or whether a font, stock image, mockup, icon, audio sample, or software license permits inclusion. Etsy states that sellers are responsible for necessary rights and that Etsy is not providing legal determinations. Treat missing or conflicting rights evidence as Block and seek qualified advice when needed.
Reconcile listing previews with the delivered package
Build a map from every listing image, screenshot, mockup, label, page sample, colorway, or feature callout to a delivered file or a clearly marked illustration. A preview watermark can be absent from delivered files, but an editable badge cannot appear when the buyer only receives flattened PDFs. Decorative frames, devices, props, and background scenes should not imply included physical or digital assets.
The checker expects preview and delivery language in the same record. It cannot inspect image pixels or compare a file visually. Open the actual candidate and the public listing side by side after release, verify each promised design and format, and remove stale images when the product version changes.
Explain Etsy download access and the support route
Current Etsy buyer guidance directs purchasers to Purchases and Download Files on Etsy.com. It also states that digital purchases cannot currently be downloaded through the Etsy app and directs buyers to a mobile browser or computer. Instant guest purchases use the receipt email link; made-to-order delivery follows completion. Payment processing can delay availability.
Etsy's note for buyers applies to all digital listings purchased from the shop, so keep it broadly accurate and put product-specific steps in the package guide or listing copy. Explain the correct path, opening or extraction steps, print or export settings, and support through Etsy Messages without requesting passwords, payment data, unrelated personal details, or private account access.
Preserve prior-buyer access and use the supported option path
Replacing an attachment on an instant digital listing changes the current package but does not erase access already granted to a purchaser. Etsy currently states that cancelling the order is the only way to revoke a buyer's file access after purchase. Preserve package versions, public promises, affected-period boundaries, and a support plan instead of treating an upload replacement as retroactive withdrawal.
Digital item listings do not support listing variations, and Etsy says private custom listings cannot be created for digital items. Use a made-to-order digital listing when a custom file is produced to a buyer's specification, and keep any supported Custom options or listing instructions consistent with the actual delivery contract.
Test the exact candidate on a clean buyer path
A creator-workstation open is weak evidence because it can silently rely on local fonts, cached links, installed plug-ins, source folders, credentials, or previous versions. Generate the manifest from the candidate, download or copy it into a clean test environment, open every file, inspect every page or asset, exercise editing or playback where promised, and record warnings and results.
For printables, inspect page count, crop, margins, missing glyphs, orientation, resolution, and one calibration print at the documented scale. For templates, extract, open, edit synthetic text, replace an image, export, close, and reopen. The checker records the evidence summary but never needs the protected source assets or a real buyer order.
Use Ready, Revise, Hold, and Block without compensation
Ready requires all eight checks, a valid one-to-five-file manifest, current evidence, and no declared conflict. Revise means the delivery path, manifest, package scope, compatibility, license, preview, or support record is incomplete or invalid. Hold means structure passes but the evidence note lacks current listing, candidate, test, preview, instruction, license, buyer note, reviewer, or date.
Block means the seller already knows a file is missing, corrupt, stale, mismatched, unsafe, unlicensed, or inaccessible. One broken archive or absent promised template overrides attractive previews and valid filenames. Ready permits backup and release QA; it does not certify file integrity, accessibility, rights, policy compliance, buyer success, ranking, conversion, reviews, refunds, or revenue.
Release one package with backup and recovery
Before changing a listing, preserve its current attached files, buyer-visible names, description, Highlights, previews, note for buyers, license, source and export versions, fixtures, approval, and rollback identifier. Confirm the correct account and listing. Safe-stop on login or CAPTCHA ambiguity, a platform warning, wrong profile, missing target context, or an unexpected editor state.
Replace only the approved bounded package. Inspect buyer-visible names, description, preview labels, note, and access behavior on mobile browser and computer, then repeat the clean-device opening path. Restore the previous files and public copy when a critical observation diverges. Search visibility and sales are later measurements, not same-day file proof.

Evidence, privacy, and responsible-use limits
Use listing aliases, buyer-visible filenames, measured sizes, source versions, package facts, synthetic test data, and aggregate observations. Do not upload proprietary source artwork, customer customizations, buyer names, emails, addresses, messages, order IDs, receipts, payment details, private download links, license keys, credentials, tokens, OAuth records, or raw CSV files into this tool, content workspace, analytics, or public report.
