What this currency conversion fee calculator solves

Etsy currently says a seller currency-conversion fee applies when a shop's listing currency differs from the seller's Payment account currency. Etsy converts the sale amount into the Payment account currency and deducts the conversion fee before funds appear there. This tool models that narrow conversion layer rather than the full order economics.

The calculator answers three bounded questions: what converted gross follows the entered historical rate, what seller conversion fee follows the entered percentage, and how much remains after that fee? It then compares the modeled gross and fee with accountable actual observations instead of treating a projected value as proof.

Confirm whether seller conversion is required

Enter and confirm the three-letter shop listing currency and Payment account currency for the dated sale. Different codes are required for this conversion-fee worksheet. A matching pair returns Block because Etsy says the seller conversion fee is triggered by a currency mismatch; the same-currency case belongs outside this calculator.

Buyer browsing currency is not the trigger modeled here. A buyer may view prices in another currency while the seller's shop and Payment account remain aligned. Keep buyer display, seller listing, Payment account, deposit bank, and any later bank conversion as separate evidence layers.

Label the exchange-rate direction

The rate field means Payment account currency received per one unit of shop listing currency. For a EUR shop and USD Payment account, 1.10 means USD 1.10 per EUR 1.00. The formula multiplies the EUR sale by that rate.

An inverse rate can create a plausible-looking but wrong result. Preserve the currency pair, rate value, rate units, applied date, source, and internal precision together. Do not repair an inverse entry by changing the sale amount or fee percentage.

Calculate converted gross

When currencies differ, modeled converted gross equals the sale amount in shop currency multiplied by Payment account currency per shop-currency unit. EUR 100 multiplied by 1.10 USD per EUR produces USD 110.00 before the seller conversion fee.

The rate is an evidence input, not a forecast. Etsy's help points sellers to applied rates in Etsy Payments Sales CSV evidence. Use the rate accountable to the reviewed settlement, retain full precision, and compare it with an actual converted-gross observation for the same amount and date.

Apply the seller conversion fee

Etsy's current public seller guidance states a 2.5% currency-conversion fee when the listing and Payment account currencies differ. The field remains visible for auditability, but the current contract accepts exactly 2.5% only after the dated rule-applicability confirmation; another value returns Block until the rule and implementation are reviewed together.

Modeled conversion fee equals converted gross multiplied by the fee percentage. With USD 110.00 converted gross and 2.5%, the fee is USD 2.75. Do not apply 2.5% once to the original EUR amount and again to the converted USD amount.

Calculate retained funds after conversion

Retained after conversion equals modeled converted gross minus the modeled seller conversion fee. In the EUR 100 at 1.10 fixture, USD 110.00 minus USD 2.75 leaves USD 107.25.

This retained figure is not payout, deposit, revenue after all Etsy fees, contribution, accounting profit, cash flow, or taxable income. Transaction, payment processing, Offsite Ads, regulatory, seller-fee tax, refunds, credits, product, labor, packaging, shipping, return loss, and bank effects remain outside this numerator.

Reproduce the stable-rate fixture

The default fixture uses a EUR 100 shop sale, EUR listing currency, USD Payment account currency, 1.10 USD per EUR, 2.5%, USD 110.00 actual converted gross, USD 2.75 actual conversion fee, USD 0.01 tolerance, and USD 100 minimum retained target.

The calculator returns USD 110.00 converted gross, USD 2.75 fee, USD 107.25 retained, zero differences, and Ready. That result proves only that the entered model and two actual rows reconcile and the seller-owned target passes.

Reproduce the adverse-rate fixture

Keep the EUR 100 sale, currency pair, 2.5% fee, tolerance, and USD 100 target constant, then enter 0.95 USD per EUR with USD 95.00 actual gross and USD 2.375 actual fee. The calculator produces USD 92.625 retained.

Both rows reconcile, but the retained amount is below target, so the decision is Review. The fee percentage did not improve or worsen; the converted base fell with the applied rate. This comparison is an operating stress test, not a currency forecast.

Use the same-currency packet as a blocking control

Set both currencies to USD, rate to 1.00, sale and actual gross to USD 100.00, and actual conversion fee to zero. The tool reports conversion not required and returns Block because this dedicated calculator accepts only confirmed differing-currency Etsy Payments sales.

The zero-fee result is useful as a negative fixture, not as a valid conversion record. Investigate the period, currency settings, fee identity, refund, credit, tax, or bank scope outside this calculator rather than forcing a conversion model onto a same-currency settlement.

Reconcile converted gross and fee separately

The actual converted-gross field and actual conversion-fee field are independent feedback sensors. Compare each modeled row with its comparable actual row at full precision, then apply the documented tolerance. A favorable net total cannot compensate for two unsupported components.

Gross drift can indicate the wrong sale amount, rate, direction, currency, date, or precision. Fee drift can indicate the wrong percentage, fee base, tax, credit, refund, or row mapping. Return Reconcile until the responsible difference is explained.

Use Block, Reconcile, Review, and Ready correctly

Block has first precedence for invalid or reversed evidence dates, a rate date outside the reviewed sale, an unconfirmed same-grain rate, invalid sale or rate, a fee other than the confirmed current 2.5%, malformed or matching currencies, negative actual rows, a scope other than one Etsy Payments sale, missing confirmations, or declared timing, tax, refund, credit, bank, currency, or statement conflicts. A high retained amount cannot override missing evidence.

Reconcile means inputs are structurally valid but one actual row differs beyond tolerance. Review means the rows reconcile but retained funds miss the seller-owned threshold. Ready means the narrow conversion packet is valid, both actual rows reconcile, and the threshold passes.

Keep historical rates accountable

A current market quote does not prove the applied rate on an older Etsy settlement. Require the applied-rate evidence date to match the reviewed single-sale evidence date, confirm the rate belongs to that sale grain, and preserve the historical source, time boundary where available, currency pair, rate units, settlement alias, reviewer, and supported rounding context.

The public calculator uses seller-entered summaries and synthetic fixtures. Keep Etsy Payments Sales CSV files, payment rows, buyer data, order identifiers, bank records, tax records, emails, addresses, tokens, OAuth material, and credentials in approved private systems.

Separate Etsy conversion from bank conversion

This tool stops at the Etsy Payment account conversion. A bank may later convert, charge, hold, or settle funds under a separate rate or fee. Do not merge a bank foreign-exchange cost into the Etsy seller conversion-fee row.

If a bank layer matters, add a separate evidence row with its own institution, currency pair, date, rate units, fee base, actual amount, reconciliation, and professional review. The Etsy result remains unchanged unless the accountable Etsy row itself changes.

Compare shop-currency choices responsibly

A seller may review whether aligning shop and Payment account currencies avoids this seller conversion fee, but the tool does not recommend an automatic setting change. Pricing presentation, buyer expectations, supported currencies, existing listings, rounding, historical comparability, refunds, and bank behavior also matter.

Etsy's preferred-currency guidance describes shop-currency settings and a time boundary for reverting certain changes. Verify the current official instructions and the actual account before changing currency. Preserve a before state and rollback plan.

A regression that changes rate direction, same-currency behavior, percentage calculation, full-precision reconciliation, retained target, currency formatting, negative-row handling, or Block precedence must fail before release. Tests use synthetic data and no private seller records.
