How to interpret Etsy payment reconciliation results

Interpret Etsy reconciliation by match class and evidence quality, not one headline percentage. Direct-reference matches are stronger than grouped or fallback matches; timing differences need later evidence; ambiguous and unresolved rows remain open. A reconciled deposit confirms modeled cash movement, not order profitability, tax treatment, or complete account correctness.

How to interpret Etsy payment reconciliation results workflow from source evidence through matching, exceptions, and seller action
Keep source identity, matching evidence, cash movement, exceptions, and decisions traceable.

What does each match class actually mean?

A direct match means stable references and compatible category, currency, and amounts support the link. A grouped match means documented member rows collectively explain another row or control total. A fallback match uses a bounded rule without the strongest identifier. A timing difference has a specific expected later evidence path. Ambiguous and unresolved rows lack enough support.

Do not combine these classes into one success rate without showing their counts and amounts. Ten high-value fallback matches can carry more risk than one hundred small direct matches. Report the unresolved denominator and source coverage beside any percentage.

Why is a matched deposit not profit?

A deposit reflects eligible cash transfer after account movements and timing. It can include prior-period activity and excludes private product, labor, packaging, fulfillment, overhead, and future loss costs. Matching the deposit to the account bridge improves cash traceability, not margin measurement.

Feed verified fee, refund, label, ad, or adjustment evidence into a separate SKU or order contribution model when appropriate. Preserve the distinction so one movement is not counted twice.

Reconciliation, cash, contribution, and accounting are separate decision layers.

How should uncertainty change the next action?

Investigate ambiguity by finding a stronger reference or narrowing the candidate set. Resolve timing by obtaining the expected later evidence. Fix systematic source or mapping defects before reviewing individual rows. Escalate aged, recurring, high-impact, or account-sensitive exceptions.

Use reversible actions. Update a mapping version, request evidence, isolate a currency, or re-run a bounded period before changing broader operations. Do not alter price or advertising solely because a payment row matched.

Result-interpretation questions

Is 99% matched always good? Not if the unmatched 1% is material or the matches rely on weak fallbacks.

Does unresolved mean Etsy owes money? No. It means the current evidence and rules do not explain the row.

Can a fallback become direct? Yes when a stable reference or authenticated evidence later supports it; retain the change history.

Should timing rows be excluded? Show them separately and age them until the expected evidence arrives.

What is the final output? A reproducible bridge, evidence-quality summary, exception queue, and bounded next actions.

How should reconciliation confidence be communicated?

Publish or export a confidence profile, not a vague label. Show source coverage, direct-reference count and amount, grouped-match count and amount, fallback rule versions, ambiguity, timing age, unresolved amount, and balance difference. Explain which evidence would change each open class. Avoid decimals that imply measurement precision the source does not support.

Separate identity confidence from amount agreement. Two rows can agree mathematically while lacking identity evidence, and a direct identity match can still contain a fee or net-formula exception. Report both controls so a single green status does not hide the other failure.

Use neutral language. 'Unresolved under current evidence' is accurate; 'missing payment' is a claim that requires stronger support. 'Deposit bridge agrees' is accurate; 'all revenue received' can be false when timing, reserves, prior balances, or private economics are outside scope.

The comparison keeps this page's evidence question separate from broader cash, profit, accounting, and policy conclusions.

Which records make this result interpretation defensible?

Use three evidence layers without merging their jobs. Order exports explain what sold and at what line-item grain. Payment Account or monthly-statement activity explains sales, fees, refunds, shipping labels, advertising, reserves, adjustments, and deposit movements. The bank confirms cash received. Private SKU, labor, packaging, fulfillment, and replacement costs belong in a separate contribution review; they do not repair a statement mismatch.

Record shop, currency, export type, requested period, actual earliest and latest row dates, download time, column map, and any filter applied before matching. Preserve signs and row categories. A net amount can help verify arithmetic, but it should not erase the components that explain the balance. If Etsy changes an export or account label, retain the raw heading and document the normalized category beside it.

A row is evidence only within its scope. An order ID can support a direct match, but a deposit is normally a transfer of available balance rather than an order-level sale. A refund can occur outside the original sale period. A shipping-label adjustment can arrive later. Keep these timing differences visible instead of forcing every row into the same day or payout.

Privacy boundary for result interpretation

Payment reconciliation does not require publishing buyer names, delivery addresses, private messages, payment credentials, marketplace passwords, bank account numbers, or raw order histories. Use a redacted transaction key, date, category, currency, gross amount, fee, net amount, deposit reference, and match status. Keep the untouched export and bank evidence in controlled seller storage.

Seller Profit Guard is designed to process supported files locally in the browser. A reconciliation export can still reveal shop volume, fee exposure, refund patterns, reserves, and cash timing, so treat it as a confidential business record. For support, share column names and a made-up example that reproduces the mapping issue. Never paste real buyer or order rows into a public community, email draft, or AI prompt.

How to apply this result interpretation in the reconciliation tool

Open Payment Reconciliation and load a supported order export plus the relevant Payment Account or monthly-statement export. Confirm the date, amount, currency, category, order reference, fee, refund, and deposit mappings before reading the summary. Start with source-quality warnings. A high match rate built on the wrong amount column or duplicated order-level totals is not a reliable result.

Review direct matches, unresolved sales, unresolved statement rows, refunds, deposits, fee categories, and formula checks separately. Export the private exception list and record the source period, matching rule, unresolved amount, owner, evidence requested, decision, and next review date. Re-run after late rows arrive or an adjustment is explained. The useful output is a controlled exception queue, not a promise that the account is profitable or the bank balance is correct.

  1. Preserve and fingerprint the source exports.
  2. Confirm date, currency, sign, category, and reference mappings.
  3. Run direct-reference matching before bounded fallback rules.
  4. Separate timing differences from unexplained exceptions.
  5. Bridge statement activity to deposits without treating deposits as sales.
  6. Assign every material unresolved row and retain the closing evidence.
