Etsy payment reconciliation worked example for one deposit week

Last updated: 2026-07-28

Written and reviewed by Seller Profit Guard Editorial Team.

This weekly example reconciles $420 of illustrative sales with $54 of fees, a $35 refund, a $24 shipping label, and a $307 deposit. The deposit equals the modeled available movement, but it is not revenue or profit. Real reviews must replace every amount with current account and bank evidence.

What evidence does the weekly example use?

Assume five completed orders generate $420 of seller-attributable sale activity during the review window. The Payment Account shows the sale rows, $54 of combined fee activity, one $35 refund, and a $24 shipping-label charge. No reserve, currency conversion, prior balance, or delayed row is included in the simplified base case. The bank shows one $307 deposit with a compatible payout reference.

The numbers are illustrative, not a statement of typical Etsy fees or deposit timing. The example's purpose is to demonstrate row classification and arithmetic. A real seller should preserve opening balance, all account categories, currency, timezone, deposit status, and rows posted before or after the nominal sales week.

How are the five orders matched?

Match each order export row to compatible Payment Account sale activity using the strongest available transaction or order reference. Confirm currency, row category, and amount components. If an order contains multiple items but the account activity is order-level, group the line items once and verify their allocated or summed revenue returns to the order total.

Do not use the $307 deposit as a substitute for five sale matches. The deposit aggregates eligible account activity and can include timing outside the visible orders. The example succeeds only because the sale rows explain $420 and the separate activity bridge explains why $307 became available for transfer.

Order matching and deposit reconciliation are linked by the account bridge, not by forced one-to-one matches.

What changes when a late row appears?

Suppose a $6 label adjustment posts after the initial download. The first review should retain a $6 timing exception rather than modify another fee or force the deposit to match. After the later row is downloaded, add it to the evidence set, rerun the bridge, and close the exception with the posting date and source.

If the bank deposit still differs, inspect opening balance, reserve, currency conversion, failed deposit, minimum-deposit handling, or other authenticated account movements. Do not invent a generic reason. Record the unresolved amount, evidence requested, owner, and next review date.

Weekly example questions

Does the $307 deposit mean the shop earned $307? No. It is an illustrative transfer after selected account movements; product and operating costs are absent.

Why keep fee categories if the total is $54? Categories make later corrections, credits, and policy checks explainable.

What if one order has a partial refund? Match the refund movement to the order without deleting the original sale; preserve both events and dates.

Can the review span seven calendar days? Use the source period needed to explain the payout, including legitimate posting and availability delays.

What is the decision? Close the period only when material differences are explained or assigned under a documented exception policy.

How does the weekly example expose formula checks?

The example should reproduce three totals independently. First, the five normalized order rows must sum to the $420 sale activity once. Second, gross, fee, and net components on matched account rows must satisfy their documented sign equation. Third, the account movement bridge must calculate $307 before the bank deposit is inspected. If the bank amount is entered first and the account categories are altered until they fit, the process has reversed evidence and conclusion.

Add counterexamples to the fixture. A duplicate $35 row must not be chosen as the refund without its category and reference. A second $307 value in another currency must not match. A $24 label credit must not be treated as a charge. A deposit posted after the weekly sales window should remain connected to the account bridge while retaining its actual transfer date.

The closing note records which controls passed, which rows remain timing differences, whether later activity is expected, and who will review it. It does not state that the shop earned $307, that Etsy's fees are always $54 on $420, or that the simplified example represents a real seller.

Which records make this weekly deposit example defensible?

Use three evidence layers without merging their jobs. Order exports explain what sold and at what line-item grain. Payment Account or monthly-statement activity explains sales, fees, refunds, shipping labels, advertising, reserves, adjustments, and deposit movements. The bank confirms cash received. Private SKU, labor, packaging, fulfillment, and replacement costs belong in a separate contribution review; they do not repair a statement mismatch.

Record shop, currency, export type, requested period, actual earliest and latest row dates, download time, column map, and any filter applied before matching. Preserve signs and row categories. A net amount can help verify arithmetic, but it should not erase the components that explain the balance. If Etsy changes an export or account label, retain the raw heading and document the normalized category beside it.

A row is evidence only within its scope. An order ID can support a direct match, but a deposit is normally a transfer of available balance rather than an order-level sale. A refund can occur outside the original sale period. A shipping-label adjustment can arrive later. Keep these timing differences visible instead of forcing every row into the same day or payout.

Privacy boundary for weekly deposit example

Payment reconciliation does not require publishing buyer names, delivery addresses, private messages, payment credentials, marketplace passwords, bank account numbers, or raw order histories. Use a redacted transaction key, date, category, currency, gross amount, fee, net amount, deposit reference, and match status. Keep the untouched export and bank evidence in controlled seller storage.

Seller Profit Guard is designed to process supported files locally in the browser. A reconciliation export can still reveal shop volume, fee exposure, refund patterns, reserves, and cash timing, so treat it as a confidential business record. For support, share column names and a made-up example that reproduces the mapping issue. Never paste real buyer or order rows into a public community, email draft, or AI prompt.

How to apply this weekly deposit example in the reconciliation tool

Open Payment Reconciliation and load a supported order export plus the relevant Payment Account or monthly-statement export. Confirm the date, amount, currency, category, order reference, fee, refund, and deposit mappings before reading the summary. Start with source-quality warnings. A high match rate built on the wrong amount column or duplicated order-level totals is not a reliable result.

Review direct matches, unresolved sales, unresolved statement rows, refunds, deposits, fee categories, and formula checks separately. Export the private exception list and record the source period, matching rule, unresolved amount, owner, evidence requested, decision, and next review date. Re-run after late rows arrive or an adjustment is explained. The useful output is a controlled exception queue, not a promise that the account is profitable or the bank balance is correct.

  1. Preserve and fingerprint the source exports.
  2. Confirm date, currency, sign, category, and reference mappings.
  3. Run direct-reference matching before bounded fallback rules.
  4. Separate timing differences from unexplained exceptions.
  5. Bridge statement activity to deposits without treating deposits as sales.
  6. Assign every material unresolved row and retain the closing evidence.
