Build Etsy Ads break-even inputs from the Etsy Ads dashboard for spend, attributed orders, revenue, and search terms; the Payment account for charged fees; listing and order records for revenue; private product, labor, packaging, and shipping records for costs; mature return outcomes for expected loss; and a documented seller target.

Which Etsy records supply advertising evidence?

Use the Etsy Ads page for views, clicks, click rate, attributed orders, attributed revenue, budget spent, ROAS, search terms, date range, and advertised-listing performance. Etsy's current help describes these metrics and a 30-day attribution window. Capture the exact report date because recent orders may still enter the window.

Use the Payment account to confirm Etsy Ads charges and applicable seller fees. Current policy says ad costs appear in the Payment account and Ads dashboard, typically within a stated delay. Reconcile totals rather than assuming dashboard and settlement timing are identical.

Use the Offsite Ads dashboard and resolved order evidence separately when modeling that scenario. Do not derive an Offsite Ads percentage from Etsy Ads spend. Record fee rate, cap treatment, attributed order, last-click condition, and market scope from current first-party sources.

Where do product, packaging, labor, and shipping costs come from?

Product cost comes from a maintained SKU or variation cost record, including directly attributable material, production, and inbound cost under the seller's chosen method. Avoid one shop-wide number when variants use different materials or production routes.

Packaging comes from the actual mailer, box, insert, label, protection, tape, and expected waste consumed by the order. Labor comes from documented task time and a declared operating rate. Record setup allocation for batched work rather than assigning the full setup to one arbitrary unit.

Actual shipping cost comes from a label, carrier invoice, or fulfillment record at the relevant package and destination profile. Buyer-paid shipping is revenue; seller-paid label cost is expense. A free-shipping promise changes presentation, not the fact that shipping consumes contribution.

Private operating records replace generic industry percentages.

How is expected return loss sourced responsibly?

Choose a mature product cohort and count affected original orders. For each return, replacement, cancellation, refund, or case class, calculate unrecovered product, outbound shipping, return shipping, handling, support, markdown, disposal, and replacement cost after confirmed recovery.

Expected return loss per original order can be a weighted sum across outcome classes. Do not paste raw buyer or order rows into the calculator. Perform aggregation privately and carry only the final rounded operating input plus source period, cohort, and uncertainty.

If the listing is new or data is sparse, use a clearly labeled provisional scenario and a wider decision buffer. A shop-wide rate is an imperfect fallback and should expire when listing-level evidence matures.

Frequency and severity remain traceable without exposing buyer data.

How should fee assumptions be built and refreshed?

Start from current Etsy Fees & Payments Policy and the seller's market-specific Payment account. Separate transaction, payment processing, fixed, regulatory, listing, currency, tax-on-fee, and advertising lines when material. The quick tool combines percentage and fixed assumptions for speed, so document what is inside.

Do not use an old screenshot or another seller's country rate as authority. Record effective date, seller location, currency, fee base, exclusions, and whether tax is collected or remitted. A rate can be correct in one market and wrong in another.

Reconcile the modeled fee against a sample of completed orders. If the difference exceeds tolerance, fix the base or add a separate cost outside this quick tool. Never reduce a fee assumption to force a desired campaign result.

What source register makes the calculation reproducible?

For every input, store label, value, unit, source type, source path or URL, owner, effective date, extraction or aggregation rule, product scope, reporting window, maturity cutoff, exclusions, uncertainty, and fingerprint. Store no raw secrets or personal data in the public project.

Add the formula version, calculator build, representative fixture, adverse fixture, expected outputs, reviewer, approval boundary, expiration date, and rollback trigger. A source register turns a one-time calculation into an auditable operating control.

Refresh when price, variation, package, labor method, carrier, fee rule, Ads reporting definition, return pattern, Offsite Ads status, or target changes. Schedule review by risk; do not replace event-driven refresh with a calendar alone.

Which records support this source-data map?

Use one listing or defensible listing group, one currency, one fee market, and one mature Etsy Ads reporting window. Reconcile item and buyer-paid shipping revenue, product cost, packaging, labor, actual shipping, percentage and fixed fees, expected return loss, Etsy Ads spend, attributed orders, and attributed revenue at the same grain. Views and clicks describe traffic; they are not converted orders.

Keep Etsy Ads and Offsite Ads evidence separate. Etsy Ads charges arise from interactions with ads on Etsy and are visible in the Ads dashboard and Payment account. Offsite Ads applies an attributed-order fee under a different program and current last-click rules. Model an Offsite Ads percentage only as a separate applicable scenario or when the resolved order record supports that path.

Freeze report dates, attribution window, selected listings, currency, fee version, cost version, return-loss method, calculation version, exclusions, and fingerprints. Reperform one public dummy fixture by hand. A matching report does not prove incrementality, and a matching fingerprint proves only that the evidence package did not change.

Privacy boundaries for this source-data map

The calculator needs aggregate money values and rates, not buyer identity. Do not paste names, email addresses, postal addresses, order IDs, message text, personalization, payment data, tracking numbers, search histories, or raw order exports into the public tool, an article, analytics events, feedback, email drafts, or community posts.

An operator can reconcile the model privately by listing or cohort using summarized Ads dashboard totals, Payment account totals, cost records, and mature return outcomes. Preserve source files only in the approved private environment, restrict access, follow retention rules, and use non-reversible fingerprints when proving that an evidence package remained unchanged.

Ad search terms, product economics, return rates, conversion performance, and campaign limits can be commercially sensitive even without personal data. Public examples on these pages are fictional and rounded. Seller Profit Guard runs this quick calculation in the browser and does not require Etsy credentials, but the seller remains responsible for secure evidence handling.

How should the calculator be used for this source-data map?

Enter item price plus buyer-paid shipping as modeled revenue. Add product, packaging, labor, actual shipping, combined percentage-fee assumption, fixed payment fee, an optional Offsite Ads scenario, expected return loss per order, planned Etsy Ads spend per converted order, and target margin. Use the exact cost and fee bases that match the selected listing and market.

The tool reports contribution before Etsy Ads, theoretical break-even ad spend, target-safe ad spend, break-even and target ACOS, and reciprocal break-even and target ROAS. The primary card is target-safe spend per converted order. It is not a cost-per-click bid, daily budget recommendation, conversion forecast, or instruction to scale.

Run representative, adverse, and out-of-scope fixtures. Compare the order-level ceiling with actual Etsy Ads spend divided by mature attributed orders, then reconcile attributed revenue with settled order economics. Record source uncertainty and stop conditions. Do not infer that attributed orders are incremental or that a profitable average makes every advertised listing safe.

  1. Choose one listing cohort and mature reporting window.
  2. Reconcile revenue, non-ad costs, and expected return loss.
  3. Calculate break-even and target-safe order-level ad room.
  4. Compare with Ads spend, attributed orders, ACOS, and ROAS.
  5. Record a bounded continue, hold, reduce, test, or stop decision.
